Monitor an Aidan campaign

Once a campaign is launched, you follow it from its job page: Job Analytics shows the trends, the Cases show every interview, and the Configure tab holds the transcripts, the synthesis and the exports.

  • Each interview is a case. Missions contain jobs, jobs contain cases, cases contain steps.
  • Charts are live. They are served by Aidan and reflect interviews as they happen.
  • Keep tests out of the real job. Run test interviews in a separate job, or they count in your results.
  • Closing is final. A closed campaign cannot be reopened from Studio.

To reach an interview from the dashboard: Missions, the campaign's mission, its job, then the case.

Read the charts

The job page shows Aidan's analytics under Job Analytics, above the cases. The same insights open from Aidan's card on the mission page.

Job Metadata, just above, recalls the campaign's name, status, manager, whether it is anonymised, and its registration link.

Chart or counterWhat it tells you
Campaign ProgressContacts enrolled and % completion.
Session MetricsNumber of sessions and Avg duration.
Call duration over timeOne point per interview, in seconds. Hover a point for the contact, status and end reason.
Sessions per campaign per dayThe daily rhythm of the campaign.
Sessions by day and hourWhen participants take their interview.

Two filters apply to the charts:

  • Window: 24h, 7d, 14d or All, or a From and To date.
  • Session start time: UTC, or Contact local to read the hours in each participant's own timezone. Use it to see when people around the world actually take the call.

:::tip Read the duration chart first A full interview and an abandoned one look very different. On a 15 to 20 minute scenario, complete interviews sit around 1,000 seconds. A point at 14 seconds is someone who opened the link and left, or a test. :::

Follow the cases

Open the job's Operations tab. Every participant's interview is a case, and you choose the view: Board, List or Calendar. Navigate a job describes them in full.

Board columnWhat it means for an interview
TodoThe participant is enrolled and has not started.
In ProgressThe interview is running.
SuccessThe interview is complete.
AnomalyThe interview failed or was cancelled.
  • Open a case to see its steps and status. Contact Data shows the participant's e-mail and personal interview link.
  • Counters next to the Cases title give the totals: Total, Completed, Waiting, Failed.
  • Switch to List to sort and filter. Filter on Status to isolate the participants who have not started.
  • Export from View all: Export CSV lets you pick the columns, Full export takes every field.

Anonymised campaigns: the Deliverable case

On an anonymised campaign, the participants' cases in the Work swimlane carry no results. One case in the Deliverable swimlane gathers them instead:

  • One anonymised summary per interview, named after the session ID, not the participant.
  • The campaign synthesis, once it has been generated.

There is no transcript anywhere on an anonymised campaign.

Read the interviews

Open the job's Configure tab, then Interviews. Each row is one conversation, newest first.

ColumnWhat it shows
ParticipantThe participant's name, or "Participant 1", "Participant 2" on an anonymised campaign.
StatusWhere the interview stands.
StartedWhen the conversation began.
DurationHow long it lasted.
TranscriptThe full conversation.
Prompt usedThe exact personalised instructions Aidan received for this interview. Use it to audit what was asked.
SynthesisThe summary of this interview, once it has been produced.

The table shows the 200 most recent interviews.

Confidentiality

SituationWhat Studio showsWho is responsible
Anonymised campaignParticipants are numbered. No Transcript or Prompt used column, and no campaign data export. The anonymised summaries, identified by session ID, are in the Deliverable case.Studio enforces it.
A participant asked for confidentialityThe whole interview is covered, not a passage. Its content is replaced by a "confidentiality requested" notice, in Studio and in the exports.Studio enforces it.
Identified campaign, no requestTranscripts are attributed to participants.Your team. Decide who may read transcripts and how quotes are used.

A request is detected from what the participant says. Aidan mentioning the confidentiality option in its introduction does not count as a request.

Keep tests out of the results

Test interviews create cases, sessions and chart points like real ones.

  • Before launch, test on a separate job. See Test before you go live.
  • During the campaign, keep a parallel pilot job for trials, such as a new scenario version. Its results stay out of the main job.
  • Removing has a limit. A participant who already has an interview cannot be removed in Participants. If test interviews landed in the real campaign, list the test users and ask Runwaize to clean them.

Keep participation moving

Participants stay editable while the campaign is live.

  • Add latecomers with Enrol contact or Import contacts in Participants.
  • Find who has not answered. Download Invite links (CSV) from Links & exports. The status column shows where each participant stands, and interview_url is the link to resend.

Studio sends no reminders. Send them from your own mail tool.

Generate the synthesis

Open Synthesis.

FieldWhat to choose
Synthesis promptThe instructions used to turn the interviews into one campaign summary.
PerimeterAll completed interviews, or a sample of the first or last 1 or 5 interviews to try the synthesis first.

Click Generate synthesis. The result appears in Links & exports as Campaign synthesis.

The Synthesis section is hidden once the campaign is closed. Generate the final synthesis before you close.

Open and download results

Open Links & exports.

ItemWhat you getAvailable
Registration linkThe shared sign-up page. When Allow contact registration is on
Invite links (CSV)Every participant with their status and personal interview link.Always

Interview summaries (ZIP)The summary of each interview. After launch, once a synthesis exists
Campaign data export (ZIP)The full campaign data, with the scenario version that was used. Confidential interviews are redacted. Not on anonymised campaigns

Close the campaign

A campaign closes in one of two ways:

  • Automatically, when the End date is reached (midnight UTC).
  • By hand: open Review & launch, click Close campaign and confirm.

:::warning Closing is final Participants can no longer start interviews. The campaign cannot be reopened from Studio. To run it again, start a new job. :::

Example: a mid-campaign review

A typical review session, half an hour, a few days into the first round of a two-round campaign. The organisation and people are fictional.

The setting. A team is capturing the know-how of its senior experts. Round one is an identified campaign with a shared registration link, and it must be complete by the following Tuesday. The campaign manager walks two colleagues through Studio.

StepWhat they doWhat they learn
1. Job AnalyticsOpen the mission, then its job, and read the charts. Most interviews last close to 1,000 seconds. A few points sit at a few seconds.
2. Duration chartHover the short points. They are the team's own test runs, including a 14-second one. They pollute the averages.
3. CasesOpen the job's Operations tab, then one case. The path to any interview: mission, job, case. The case shows the participant's link and status.
4. Todo columnLook at the cases that have not moved. These participants are enrolled and have not started. They are the ones to remind.
5. List viewSwitch to List, filter on Status, export the CSV.A reminder list, ready for the mail tool.
6. ConfidentialityAsk what happens to sensitive answers. The campaign is identified, so the team owns how transcripts are shared. A participant who asks for confidentiality has the whole interview withheld.
7. Test dataTry to remove the test users in Participants.Removal is refused for participants who already have an interview.
8. Session timingSwitch Session start time to Contact local.Participants in every region mostly take the call during their working hours.

What they decide.

  • List the test users and have them cleaned from the campaign.
  • Create a parallel pilot job for all further trials, so tests no longer mix with real interviews. One colleague wants to read their own test interview first, so the pilot job keeps it.
  • Prepare round two in the pilot job. The second scenario is tested there before round one closes.

Plan a second round

A follow-up round can build on what each participant said the first time. The scenario of round two is then personalised per participant, from the transcripts or summaries of round one.

This is prepared with Runwaize: a master scenario template, plus a builder step that condenses each participant's first interview into their own scenario. Plan it before round one closes, and test it in a separate job.

Monitor from Claude or ChatGPT

With the Supervaize MCP connector, you can ask an assistant about the campaign's mission, job and cases instead of opening Studio.
