Set up an Aidan interview campaign

Aidan is the Runwaize AI interviewer. A campaign enrols participants, Aidan interviews each of them by voice or on the web, and every interview becomes a transcript and a summary that roll up into one campaign synthesis.

You run the whole campaign from a Studio job:

  • One job is one campaign. The job page is where you configure, launch, follow and close it.
  • Setup is locked at launch. Parameters and the scenario become read-only once the campaign is live. Participants stay editable.
  • Studio sends no e-mails. You share one registration link, or export each participant's personal link and send the invitations yourself.

:::info Availability Aidan must be registered in your workspace and added to a mission. Campaign templates are prepared with Runwaize. If Aidan is missing from your agents, contact Runwaize. :::

Before you start: prepare the content

Collect these before you open Studio. Runwaize uses the first three to prepare your campaign template.

WhatWhat to provide
Campaign contextA short overview of the organisation the campaign concerns: what it does, the terminology and abbreviations participants use, and anything Aidan needs to interpret answers. Keep it separate from the objectives.
AudienceWho the participants are (employees, external users, another group), their relationship to the organisation, and what they can be expected to know.
DisclaimerThe exact terms participants see and must accept before the interview starts. The campaign owner supplies and approves the wording.
Campaign name and descriptionThe name is the campaign's reference. The description is a couple of sentences that introduce the campaign to participants.
Campaign ownerThe name and e-mail of the person in charge. Both are displayed on the registration and interview pages.
DatesThe end date, after which interviews are no longer accepted. The start date is the day the campaign is created.
Registration modeOpen registration, individual invitations, or both. See Enrol participants.
AnonymityWhether interviews are attributed to participants or anonymised. See Anonymity.
ScenarioThe questions, themes and sequence of the conversation, as a Markdown file. See Write a scenario.

## Before You Begin

You are about to have a conversation with an AI interviewer, not a human.

### Recording & Data Use

The conversation will be **recorded and transcribed**. This data will be used to:

- Establish a baseline for understanding your organisation's current context, priorities and challenges
- Identify relevant themes, opportunities and areas for further discussion
- Support us in preparing analysis, insights and possible follow-up recommendations

### Your Participation

Your participation is **voluntary**.

- You can stop the conversation at any time
- You are not obliged to answer every question
- Please avoid sharing confidential, sensitive or personal information unless it is necessary for the discussion

State where recordings and transcripts are stored if your organisation requires it.

Set up in five steps

1. Create the job

Open the mission that holds Aidan and click New Job. Aidan asks which campaign the job manages:

FieldWhat to enter
CampaignCreate new from template starts a new campaign. Use existing campaign connects the job to a campaign you already have.
Campaign templateThe template the new campaign starts from. It brings the interview script and settings.
Campaign nameThe name your team sees. It must be unique in your workspace.
DescriptionA short note on what the campaign is for.

The same form holds the four settings described in the next step.

:::note Existing campaigns Campaigns that another job already manages are not listed. Connecting a campaign that is already running puts the job straight into the live state: there is no launch step, and the monitoring sections are available at once. :::

The job opens on its Configure tab, with one section per step below.

2. Check the parameters

Open Parameters, adjust the settings and click Save parameters.

SettingEffectDefault
Allow contact registrationPeople can sign up themselves through a public registration link, in addition to the participants you add.Off
AnonymizedParticipants appear as "Participant 1", "Participant 2" and transcripts are not shown.Off
Session links expire after useWhen on, each interview link works once. When off, participants can reopen their link after the interview. On
End dateThe campaign closes automatically when this date is reached (midnight UTC). Leave it empty to close the campaign yourself.Empty

Name, Description, Created (start date) and Campaign owner are shown read-only.

3. Enrol participants

Open Participants. There are three ways to bring people in, and you can combine them.

MethodHowUse it when
Enrol contactSearch your workspace contacts by name or e-mail and pick one.You are adding a few people who are already contacts.
Import contactsPaste CSV text with a header line. New e-mails become workspace contacts, and every row is enrolled. You have a defined participant list.
Open registrationTurn on Allow contact registration and share the registration link. Participants register with their first name, last name and e-mail address. You want to distribute one common link.

CSV columns: email is required. first_name, last_name, phone_number, language, timezone, city, country and title are optional.

email,first_name,last_name,language,timezone,country,title
[email protected],Jordan,Lee,en,Europe/Paris,FR,Operations Lead
[email protected],Sam,Rivera,es,America/Bogota,CO,Analyst

Use IANA names for timezone, such as Europe/Paris.

4. Write the scenario

Open Scenario. The editor holds the campaign-specific part of the conversation. Aidan's tone, safety and conversation handling are already built in.

  • Edit and save. Clicking Save on a changed text creates a new version, and the campaign uses it.
  • Go back to an earlier version. Pick it in the Version list and save. The list marks the version that is latest and the one in use.
  • Read the compiled preview. It shows your scenario inside the full interview frame.
  • Fix every blocked line. Validation shows Scenario ready, or Scenario not ready with one line per reason, such as an empty text or a placeholder that resolves to nothing.

Write a scenario explains what to put in it and how long it can be.

5. Review and launch

Open Review & launch. The checklist must be fully green:

  1. Enrol at least one participant (Participants)
  2. Save a scenario (Scenario)
  3. Campaign is ready to launch

Click Launch campaign and confirm.

:::warning Launching is one-way After launch, Parameters and Scenario are read-only. Test before you launch a campaign with real participants. :::

Invite participants

Open Links & exports.

ItemWhat you get
Registration linkThe shared sign-up page. Listed only when Allow contact registration is on.
Invite links (CSV)One row per participant: first_name, last_name, email, status, interview_url.

Send the invitations from your own mail tool, using the registration link or each participant's interview_url. Decide beforehand who sends them and what the message says.

Anonymity

ModeWhat it meansHow to set it
IdentifiedEvery interview is attached to its participant.Leave Anonymized off.
Fully anonymisedParticipants are numbered. Transcripts, the prompt used and the campaign data export are never available in Studio. Only summaries are.Turn Anonymized on before launch.
On requestAidan tells the participant they can ask for confidentiality during the interview. For those interviews, the transcript, the summary and the prompt are withheld.Include the confidentiality wording in the scenario introduction.

Test before you go live

Run the whole participant journey on a test campaign first.

  1. Open the registration link, or one personal interview link.
  2. Check the registration details and the terms shown before the interview.
  3. Complete an interview. Judge relevance, clarity, flow and duration.
  4. Try each path of the scenario, with short, typical and long answers.
  5. Revise the scenario and test again.
  6. Confirm the approved version, the launch date and who sends the invitations.

  • Campaign context, audience and end date
  • Campaign name, description and disclaimer
  • Campaign owner name and e-mail
  • Registration mode, and the participant CSV for individual invitations
  • Anonymity choice
  • Scenario (Markdown file)
